The Status Call is a Symptom, Not the Problem

If you’ve run cold-chain freight for any length of time, you know the status call by heart. 

Your customer asks about Thursday’s delivery, the carrier says it’s rolling and on schedule, and you pass that along. The customer replies “thanks,” everyone gets back to work, and the whole exchange is over in a minute. No one is dodging the question. The truck really is moving, and the appointment still looks good.

Six hours earlier, that same load spent 40 minutes at a cross-dock with the doors open in 95-degree heat while a crew reworked the pallets. The first carrier had marked the transfer complete before the next one took custody, which left the freight sitting between two systems. Then the doors shut, the next driver pulled away, and the tracking page looked clean again.

That’s the maddening part. Everyone did what they were supposed to do, yet the update left out the only 40 minutes the receiver cares about. The temperature has its own version of the trip, and the receiver will be the first one to ask for it on Thursday.

Those missing minutes tend to hide around yards, cross-docks, customs holds, and drop lots, which is exactly why so many status calls begin there. 

Forty minutes might pass harmlessly in January. But come July and August, it’s a whole different discussion.

The Record Goes Quiet Because of How Carriers Get Paid

It helps to know why those holes are there, since the answer isn't carrier negligence. Milestone scans exist to close billing events. A load gets scanned at pickup, again at a hub, again at delivery, and each of those timestamps is doing accounting work first and telling you a story second.

Between them, the record holds nothing, because nothing was ever asked to be there. The industry hasn't even settled on a shared definition of that stretch, which is why FMCSA keeps trying to draw a clean line between dwell and detention that carriers and shippers will both sign.

So your team fills it in by phone, which is a reasonable thing to do and not a habit you can train out of them. That's why load chasing outlives every process fix aimed at it, and why so many visibility programs stall out a week after the dashboard goes live.

Excursions Start at the Handoff, Not in Storage

Freight is rarely in trouble while it's in motion and rarely in trouble sitting in a cold room, because those are the two environments the industry instrumented. The risk collects in between.

A preprint posted this month makes that case for pharmaceutical air cargo. It argues the ground transfer between off-load and getting back inside something cold is a larger thermal exposure than the flight. Specifically, it points to apron dwell of 30 minutes to several hours, staging in 28°C warehouses, and customs holds running four to 18 hours.

Truckload behaves the same way. ATRI found reefer drivers detained at 56.2% of stops, more than any other equipment type, so your most fragile freight waits longest at every carrier change on the lane.

July Turns a Dwell You Used to Shrug At Into a Rejected Load

Those handoffs were there in February, and you probably didn't think much about them. Summer heat is what takes away the room for error, and this year has been a rough one, with record-breaking heat waves seemingly occurring week after week, region after region.

A reefer keeps a cold load cold. It can't cool one back down quickly once it's warmed up, so 15 minutes of open doors on a hot apron can take 30 to 60 minutes to recover. A load validated for 2 to 8°C carries one exposure budget for the entire trip, and 4 ordinary handoffs will spend it without any single one looking like the culprit.

Alpine Fresh caught excursions on a $120,000 blueberry load and a $90,000 asparagus load with both trucks still rolling. Against a one-day perishable window and a 3% chargeback, that timing is everything.

Automating the Call Leaves the 40 Minutes Alone

The calls didn't disappear this year. They got handed off. Voice agents dial drivers now, transcribe the answer and write it to the load record, and the 25 to 40% drop in operator load is real. Your team leans on those calls less. The calls themselves happen as often as ever.

Which matters, because what comes back is still one driver's recollection of a location. Automating a phone call and running real-time tracking off the freight are two different products, and only one of them knows a unit switched from continuous run to cycling an hour ago.

So ask any vendor promising to end check calls what your trailer read during those 40 minutes. If they'd have to go ask the driver, all they've sped up is the guess, because a real reading has to come off the freight itself.

Your Call Log is Already the Business Case

This is an argument for keeping that log on purpose. Give it two weeks and three columns: who placed the call, how long it took, and what the answer changed.

The first column tells you how far a problem traveled before anyone caught it, since a call your customer placed to you means the load stopped being a logistics problem well before your phone rang. The third usually settles the internal debate, because most calls change nothing and the few that mattered landed after the window had closed.

Then price the dwell underneath them. ATRI puts detention at 39.3% of stops and $11.5 billion in lost productivity, and the same standing still shows up in cargo theft, where roughly 41% of losses happen while freight sits in storage.
